We are committed to handling personal data responsibly and in accordance with the Information Technology Act, 2000 (India), the Digital Personal Data Protection Act, 2023 (DPDPA), and applicable international standards including the General Data Protection Regulation (GDPR) where relevant.

By using our service, you agree to the collection and use of information as described in this policy. If you are using WebTranslate on behalf of an organisation, you confirm you have authority to bind that organisation to this policy.

NeuroGen is the legal entity operating WebTranslate. We are incorporated in India and our registered office address is on file with the Ministry of Corporate Affairs.

We collect the following categories of information:

• Account and contact data: name, work email address, company name, phone number, and job title provided when you contact Sales or request access to the service.
• Website configuration data: your website's domain name, source language, target languages, and DNS configuration settings provided during onboarding.
• Usage data: service activity logs, translation request volumes, page-level analytics (URLs translated, language requests, error rates), and feature usage patterns.
• Payment data: billing contact details and payment references. Card details are handled directly by our payment processor — we never store raw card numbers.
• Communications data: emails, messages, and support interactions you send us.
• Website visitor translation data: when WebTranslate proxies requests to your website, we process the HTML content of your website's pages to perform translations. We do not store personal data belonging to your website's visitors beyond the session required to serve the translation.

We do not sell personal data. We do not use your website's content or your visitors' data to train AI models.

We use personal data for the following purposes:

• Service delivery: to provision, configure, and operate WebTranslate for your website.
• Account management: to manage your account, respond to enquiries, and provide customer support.
• Billing and payments: to process invoices and payments for the service.
• Service improvement: to analyse usage patterns, fix bugs, and improve the performance and reliability of the platform.
• Communications: to send you service updates, security alerts, and operational notifications. We do not send marketing emails without your consent.

We do not sell or rent personal data. We share information only in the following circumstances:

• Service providers: we engage trusted third-party vendors to operate aspects of our infrastructure (cloud hosting, email delivery, payment processing, monitoring). These vendors process data only on our instructions and are bound by data processing agreements.

The WebTranslate management dashboard uses essential cookies required to maintain your session and keep you logged in. We do not use advertising or third-party tracking cookies on our service.

Our translated website proxy may preserve or relay cookies set by your origin website to ensure functionality. We do not read or store the contents of these cookies.

We retain personal data for as long as necessary to provide the service and for a reasonable period thereafter to comply with our legal obligations.

• Account data is retained for the duration of the service agreement and for up to 3 years after termination for legal and billing record purposes.
• Translation proxy logs are retained for up to 90 days for debugging and service quality monitoring.
• Support communications are retained for up to 2 years.
• Payment records are retained for 7 years in accordance with Indian accounting standards.

You may request earlier deletion of your personal data (subject to legal retention requirements) by contacting privacy@neurogenhq.com.

Depending on your jurisdiction, you may have the following rights regarding your personal data:

WebTranslate operates on cloud infrastructure that may be located across multiple regions including India, the European Union, and the United States. Where personal data is transferred outside of India or the EEA, we take appropriate safeguards including Standard Contractual Clauses, adequacy decisions, or other approved transfer mechanisms.

Enterprise customers requiring data residency in a specific region (India, EU, US) should specify this requirement during onboarding. Dedicated regional infrastructure is available under Enterprise agreements.

We implement industry-standard security measures to protect personal data against unauthorised access, disclosure, alteration, or destruction. These include TLS encryption in transit, AES-256 encryption at rest, role-based access controls, and regular security audits.

Despite these measures, no system is perfectly secure. We encourage you to use strong passwords and to contact us immediately at security@neurogenhq.com if you believe your account has been compromised.

WebTranslate is a B2B service intended for use by businesses and professionals. We do not knowingly collect personal data from individuals under the age of 18. If you believe we have inadvertently collected such data, please contact us and we will delete it promptly.

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or via the service dashboard with at least 14 days' notice before the changes take effect.

Your continued use of WebTranslate after the effective date of any changes constitutes your acceptance of the updated policy.
